Camp Registration Update as of February 13, 2021

Greetings!

As you are aware, we launched summer camp registration on February 2 only to have the system shut down due to failures. The system launch had two major problems occur:​

  • Camp payments were unable to be processed and reservations were unable to be finalized. ​
  • As a result of failed reservations, too many camp spots were offered to customers. ​

We carefully thought through this problem and worked with our software company to implement a fair solution:​

  • All camper registrations that were finalized and completed before the software system failed have been honored. These registrations will be listed in your account.​
  • All campers whose registrations were in process and were unable to be finalized due to software failure issues were placed on waiting lists in the order in which the attempts were made. Our system administrators were able to order registrations on camp waiting lists based on the exact time the registration was initiated. Any current open camp spots are being awarded based on carefully ordered waiting lists in the system. All applicable waiting list information is listed in your account.​
  • In the event that there are not enough spots in a camp to meet the demand, customers may remain on the waiting list in hopes that an opening will occur.​
  • If waiting lists are exhausted and open camp spots remain, these camp spots will be open to everyone in the public at our camp relaunch.​

Our two-phase camp reopening has started and our relaunch to everyone will begin on Tuesday, February 16 at 10 am: ​​

  1. This week, we began the process of sending out notifications to those who are eligible for open spots on our waiting lists. Notifications will continue to be sent out in the future, as long as camp spots are available. ​
  2. Once we make our way through the current waiting lists, we will open any remaining camp spots to the public on Tuesday, February 16. ​

We recognize the frustration this has caused for so many, and we want to thank you for your understanding. We have worked hard to ensure this process is, to the best of our ability, fair and accurate. We are looking forward to the upcoming summer camp season and cannot wait to host your camper(s) soon! 

Due to the high volume of calls and emails we have once again compiled information to help guide you. This is designed to give you some answers.

If you are currently on the waiting list for a camp: You will receive an email from UltraCamp if there is a spot available for your child. This email will contain a unique registration link that will allow only you to register for the specific camp on the waiting list notification. You will have 24 hours to accept the camp opening. If you do not accept the spot within 24 hours, the spot will be offered to the next camper on the waiting list. Please keep an eye out for emails. This notification email will be sent to the email associated with your UltraCamp account. Please be careful to check for our emails in your spam or junk email folders.  

If you are currently on multiple waiting lists for camps: Waiting list registration will only be open to invited individuals; registration will not be open to the general public at first.  For this reason, registration will only be available through the direct link in the waiting list notification email you will receive. You will only be able to register for the sessions when you receive a notice. 

If you are registering multiple children or for multiple sessions, you are able to view all eligible sessions by following these steps:​

  1. Log into your UltraCamp account.​
  2. Click on "Reservations" in the top menu bar (or click on the orange "My Reservations" button.)​
  3. Under the "Reservation History" heading you will see a list of all waiting list sessions. If you have received an email that you are able to register, the eligible sessions will have a "Sign Up" button next to them.​
  4. Select the button next to a session to begin registration.​
  5. Once the session is in the cart, you can come back to this page by clicking "Reservations" in the top menu bar and register for the next session.​
  6. When all sessions are in the cart, you may proceed to payment and complete your purchase.​
  7. If you are having trouble, you can access each session separately from the links in the waiting list notification emails.​

If you have been invited to register but are having a problem with a credit card payment: UltraCamp has updated their 3-factor credit card authentication to prevent the errors that were previously occurring when attempting to add a new credit card to an account. Because of this, it may be necessary to delete and re-enter stored credit cards on your account.

To delete a stored credit card, please follow these steps:​

  1. Log into your account in UltraCamp.​
  2. Click on your account balance (your account balance may be $0.00). ​
  3. Click on the "Payment Accounts" heading to expand it.​
  4. Click directly on the credit card to view/edit it.​
  5. Click delete to remove the card.​
  6. Click "Add Credit Card" to re-enter your card information.​​

How do I know I have a spot reserved for camp?  When you log into your UltraCamp account, please click on "Reservations" to check if your child’s camp reservation was completed. Any successful reservation will be listed under "Current Reservations." The camp reservation will have a clickable link with details about your registration and the fees associated with it. A successful registration will not say the words "Waiting List" in red above the reservation.​​

In your account, you are also able to see if your camper is on the waiting list by looking under "Current Reservations" as well. Any reservation for the waiting list will be indicated by the words "Waiting List" in red before the reservation. If you have received an email that you are able to register for a waiting list camp, the eligible session will have a "Sign Up" button next to it.

What if I could not register on February 2 due to the system failure: We realize that there were many valuable customers who were unable to register on February 2 since the system was shut down before they could attempt to register their child for camp. In order to make this as fair as possible for everyone, we are opening up remaining camp spots at the same time to our customers. This will allow everyone who was unable to register to have the same fair chance to register for open spots beginning on Tuesday, February 16 at 10 am.​

When will camp reservations open to everyone? On Tuesday, February 16 at 10 am any remaining open spots for camp will be available for registration on a first-come, first-served basis. Please create or log into your account in UltraCamp to register for CincyNature Camp on that date and time. We still have many great camp and program opportunities this spring and summer for children!

Are there any sold out camps? Even though our system was only open for less than an hour on February 2, we experienced a great amount of activity with customer registrations. As a result, some camps are now sold out. Any camps that are sold out will only appear to you as registration for a wait list. If no spots are available for a particular camp, you may register to be on the wait list. Our camp registration system will contact you via email if space becomes available. If an opening occurs, you will have 24 hours to register for a camp wait list opening by clicking on the link emailed and following the steps.

If You’re Having Problems with Payment

Checking Your Camp Reservations
